Quinnipiac University invites applications for the position of Secretary within the School of Health Sciences to perform secretarial faculty/administrator assistance, student assistance, and clerical duties required to support the Clinical Education Program for designated department(s) within the School of Health Sciences.

Responsibilities

  • Provide clerical support and assistance to the Clinical Education program in those departments(s) in the School of Health Sciences (SHS) as designated by the Dean
  • Support the designated Clinical Education Coordinators in the performance of their duties
  • Prioritize work and perform multiple tasks simultaneously while adhering to deadlines
  • Keep track of work to ensure efficient departmental functions
  • Correspond with Clinical Site personnel and students as directed by the designated Clinical Education Coordinators
  • Carefully and accurately oversee and manage the Clinical Education databases for designated departments
  • Maintain ongoing upkeep and process contracts between Quinnipiac University and clinical sites for designated departments in a timely manner
  • Manage electronic systems for background checks, student medical records, and other clinical compliance requirements for designated departments
  • Coordinate annual mailings for designated departments
  • Assist the appropriate departmental secretaries with travel arrangements for designated Clinical Education Coordinators
  • Utilize University systems and software to perform duties such as accessing room reservations, e-mail systems, Outlook, etc.
  • Gather and enter data for the preparation of various reports and documents
  • Manage data input and outcome measures for electronic assessment tools
  • Organize and maintain a filing system for all pertinent department/program data so that it is readily accessible
  • Carefully and accurately oversee and manage the Clinical Education databases for designated departments 
  • Maintain ongoing upkeep and process contracts between Quinnipiac University and clinical sites for designated departments in a timely manner
  • Assist the appropriate departmental secretaries to establish meetings as required, notifying participants and arranging for all materials, food, facilities, AV equipment, budgets, travel and support functions.
  • Supervise and coordinate work for student workers
  • Other secretarial duties as assigned

Qualifications & Special Instructions to Applicants

  • Demonstrated high level proficiency with Word, Excel, PowerPoint
  • 1 to 3 years of relevant experience working in a high traffic office setting
  • Able to prioritize multiple tasks, work efficiently within time constraints and deadlines, and handle stressful situations
  • Attention to detail and accuracy is a must
  • Function both independently and in a team environment
Please note this is a Grade 5 position in the Clerical & Technical Unit with an hourly rate of $22.00.  In addition, it requires a successful completion of both a background check and Microsoft Office skills test.
