  • Serve as the initial contact representing the Polling Institute by answering incoming calls and greeting visitors. Take messages, relay information and answer questions within scope of knowledge and authority
  • Schedule interviews with radio, television and print outlets
  • Process purchase requisitions and requests for payment
  • Assist in monitoring department budgets and expenditures
  • Arrange conferences and meetings as required, notify participants, and arrange for all materials, food, facilities, travel arrangements and support functions
  • Perform other secretarial duties as assigned
  • Organize and maintain a filing system assuring rapid retrieval of all materials
  • Supervise student workers
  • Maintain office supplies
  • Review and route incoming mail for appropriate distribution and action
  • Edit and proofread poll press releases and publications for accuracy
  • Prepare back page data
  • Create and maintain ‘trend’ data tables for reference, publication and posting to the web. Post trends and releases to the website
  • Prepare and upload poll press releases onto the internet
  • Assist the Director in research to enhance the accuracy of polls
  • Prepare various reports including gathering data and setting up format
  • Assists with the coordination of the polling student hiring process

Qualifications & Special Instructions to Applicants


  • 1 to 3 years experience working in a high traffic office setting
  • Strong knowledge of Microsoft Excel, Word, and Outlook
  • Excellent communication and organizational skills and use of discretion
  • Exceptional attention to detail
  • Interest in politics or public policy issues a plus

Please note this is a Grade 6 position in the Clerical & Technical Unit with an hourly rate of $23.00. In addition, it requires a successful completion of both a background check and Microsoft Office skills test.
