Overview

 

The School of Medicine invites applications for the position of Secretary, Capstone Program to provide administrative support for the coordination and implementation of the four-year Scholarly Reflection and Concentration/Capstone course. This position reports to the Associate Program Director of the Scholarly Reflection and Concentration/Capstone Course.

The Frank H. Netter MD School of Medicine at Quinnipiac University graduated its inaugural class of medical students in May 2017. Responsibilities

 

  • Perform data entry of course schedule into school calendars, ensuring accuracy of course and room information in curricular calendars
  • Perform timely processing of approved student reimbursement requests and orders for capstone project supplies and expenses
  • Provide support for course-related events (e.g., reserving rooms, tracking responses, preparing quality materials, placing catering requests, sending event confirmations and directions, mailing invitations, and managing check-in)
  • Support concentration faculty with planning and scheduling needs for curricular events (e.g., assist with coordinating logistics for guest speakers, requesting media needs, posting materials in Blackboard)
  • Schedule course related meetings, prepare agendas, and take meeting minutes.  Edit work for accuracy, format, spelling, and punctuation. Arrange all meeting needs such as remote access and catering orders
  • Perform data entry of course faculty information into a web-based database
  • Prepare copies of course materials and facilitate print center requests for course faculty. Ensure quality and timely completion of all materials
  • Update course-marketing materials and prepare information packets
  • Monitor student attendance and send makeup assignments on behalf of course faculty. Notify course faculty of student absences in advance of sessions. Track student absences and notify course leaders if makeup work is not submitted by the due date
  • Track faculty teaching hours and participation in course trainings
  • Enter media requests and create IT support tickets for course faculty and guest speakers
  • Print and mail contracts to course faculty and perform payment processing for clinical faculty as needed
  • Order supplies for course related activities and provide clerical support to Course Director(s) as needed
  • Send out program related communications on behalf of course leadership as directed
  • Assist with gathering and organizing information needed for accreditation documents
  • Other duties as assigned

 

Qualifications & Special Instructions to Applicants

 

  • Bachelor's degree preferred
  • 3-5 years experience as an administrative assistant or similar role
  • Advanced applied knowledge of MS Office Suite
  • Exceptional attention to detail
  • Strong oral and written communication skills
  • Track record of strong organizational skills including management of time-lines, events and budgets
  • Demonstrated ability to meet deadlines and to handle multiple tasks assigned
  • Superior customer service skills
  • Capable of problem solving and handling difficult situations
  • Demonstrated ability to work independently as well as work effectively as part of a team effort to achieve departmental goals and objectives

 

Please note this is a Grade 5 position in the Clerical & Technical Unit with an hourly rate of $22.00. In addition, it requires a successful completion of both a background check and Microsoft Office skills test.
